CANCELLATION POLICY & REFUND POLICY

Guest Cancellation

All cancellation requests must be submitted in writing.

Deposit Payments

Booking deposits are non-refundable unless otherwise expressly stated in writing.

Cancellation Schedule

More than 180 days before departure:

  • Refund of payments received, less the non-refundable deposit.

180–120 days before departure:

  • 50% refund of payments received, less the non-refundable deposit.

119–90 days before departure:

  • 25% refund of payments received, less the non-refundable deposit.

89 days or less before departure:

  • No refund.

No-Show

Participants who fail to arrive for the programme or leave voluntarily after commencement are not eligible for refunds.

Organizer Cancellation

Should the organizers cancel the programme due to insufficient enrollment or other operational reasons, participants will receive a refund of monies paid to the organizers.

The organizers shall not be responsible for airfare, visa costs, travel insurance premiums, personal expenses, or other third-party costs.

Transfer of Reservation

Requests to transfer a booking to another eligible participant may be considered on a case-by-case basis and may be subject to administrative fees.

Refund Processing

Approved refunds will be processed within 30 business days of confirmation.

 

PRIVACY POLICY, LIABILITY WAIVER, MEDICAL DISCLOSURE & TRAVEL INSURANCE REQUIREMENT

Privacy Policy

The Savored Roots programme collects personal information solely for the purposes of programme administration, travel coordination, guest communications, safety management, and legal compliance.

Information collected may include:

  • Contact information

  • Passport information

  • Emergency contact information

  • Dietary requirements

  • Medical disclosures voluntarily provided

  • Payment records

Information will be stored securely and shared only with service providers, accommodations, transportation providers, insurance providers, government authorities, or other parties where reasonably necessary for programme operations.

Participant information will not be sold to third parties.

By submitting information through the website, participants consent to its collection and use for programme administration purposes.

 

Liability Waiver

Participants acknowledge that travel and participation in programme activities involve inherent risks.

Participants voluntarily assume responsibility for any risks associated with:

  • International travel

  • Transportation

  • Food and culinary activities

  • Outdoor activities

  • Walking tours

  • Water-based excursions

  • Cultural experiences

  • Physical activity

To the fullest extent permitted by law, Chef Eric Adjepong, Park Cultural Production, affiliated partners, contractors, employees, representatives, sponsors, and suppliers shall not be liable for personal injury, illness, death, loss, theft, property damage, delays, or expenses arising from participation in the programme.

Medical Disclosure Disclaimer

Participants are responsible for evaluating their own physical and medical suitability for participation.

Participants must disclose any medical conditions, dietary restrictions, allergies, mobility limitations, accessibility requirements, or other health concerns that may reasonably affect their participation.

The organizers reserve the right to request additional information where necessary to ensure participant safety.
